What is an Emergency and Evacuation Management System?
Emergency and evacuation management solutions are designed to provide digital oversight of each stage of an organization’s emergency response, from notification and evacuation management, through coordinating the return to work and post-evacuation reporting and analytics. Through the application of best-in-class technology, companies can reduce risk, enhance safety, support regulatory compliance requirements, and minimize costly downtime.
How Does an Emergency and Evacuation Management System Work?
Step 1
Administrators configure emergency profiles and customize mobile/email messaging for each from within EmergencyOS. This ensures that all visitors and employees are best prepared when an emergency event is triggered.
Step 2
An emergency event is initiated from the EmergencyOS portal, on-site from a sign-in kiosk, or from the mobile app.
Step 3
Alerts are sent to participants detailing emergency procedures based on predefined emergency profiles. Since EmergencyOS can integrate with existing address books and mass notification systems, it automatically collects visitor data enabling Safety Officers and administrators to communicate with all on-site personnel and visitors in real-time. If enabled, a list of signed-in visitors is automatically sent to hosts.
Step 4
For roll call scenarios, evacuees make their way to the designated mustering point where Safety Officers perform digital roll calls. Participants latest status information is automatically collected and recorded in one centralized, remotely accessible location. For building sweep scenarios, Safety Officers will see a list of zones or areas of your facility to be swept. Safety Officers mark zones as safe in the mobile app confirming the area has been evacuated. Filters automatically prioritize the mustering list based on user status, focusing Safety Officers' attention to personnel who are unaccounted for, have not provided a current status or need help during the evacuation.
Step 5
Once safe, Safety Officers can complete the evacuation. The customizable mobile/email messaging tools configured in the Emergency Profile aid in guiding evacuees back to the workplace, reducing downtime caused by drills and emergencies.
Step 6
With a full digital audit trail of each drill and evacuation, effortlessly report on emergency events and analyze detailed metrics for continuous improvement.

EmergencyOS Frequently Asked Questions
How do facilities account for everyone after they evacuate a building?
Facilities assign a muster point, a designated safe location outside the building where evacuees gather after an evacuation. Safety Officers then run a roll call at the muster point to confirm who arrived and who is still unaccounted for. EmergencyOS digitizes this process.
Each evacuee gets a unique QR code, and Safety Officers scan it at the muster point to mark someone as safe. Status updates sync in real time across every muster point, so a multi-building or multi-site evacuation stays coordinated from one central view instead of separate paper lists.
What is a muster point?
A muster point, also called an assembly point or emergency assembly area, is a predetermined safe location where employees, visitors, and contractors gather after an evacuation so a headcount can confirm everyone is out. A well-placed muster point sits clear of the building and any hazards, stays reachable from multiple evacuation routes, and doesn't block access for emergency vehicles. Facilities with multiple buildings or floors often designate several muster points, which is why real-time syncing across locations matters for an accurate final count.
What is an Emergency Profile in EmergencyOS?
An Emergency Profile is a preconfigured response plan for a specific type of event, such as a fire, severe weather, or hazardous material incident. Each profile lets administrators customize the notifications, procedures, and messaging that go out when that scenario is triggered, so the response is tailored to the actual emergency rather than using one generic evacuation workflow for every situation.
What does the EmergencyOS mobile app let Safety Officers do?
The mobile app gives Safety Officers on-the-go access to the core emergency tools: starting and monitoring evacuations, performing digital roll calls, running building sweeps, sending real-time messages to evacuees, and tracking mustering progress, all without needing to be at a fixed workstation. This matters most for multi-building or multi-floor facilities, where Safety Officers are moving between zones during the event itself.
How do facilities run a roll call during an evacuation?
A roll call is the process of confirming, by name, that every person expected on-site has reached safety. Traditionally this means a Safety Officer working through a paper list at each muster point, a method that is slow and prone to errors in a high-stress event.
With EmergencyOS, roll calls happen digitally. Safety Officers scan an evacuee's QR code or check them off from a mobile app, and the system automatically compiles who is accounted for and who isn't, in real time, from any device. Evacuees who can't reach a muster point can also confirm their status through an automated SMS roll call built into the evacuation workflow.
Does EmergencyOS notify people who aren't at their desk or checked into email?
Yes. Notifications go out through multiple channels at once, including SMS, email, and phone-based alerts, based on the Emergency Profile configured for that event type. This multi-channel approach is part of why visitor and contractor data matters: those groups often aren't on a company email list, so SMS becomes the reliable way to reach them directly.
What's the difference between manual and digital roll calls?
A manual roll call relies on a physical list and a Safety Officer checking names off by hand, which gets slower and more error-prone as headcount or number of muster points increases. A digital roll call replaces that list with a live occupancy record and lets Safety Officers confirm status through a scan or app check-in, with results syncing automatically across every muster point. The core difference is that manual processes scale poorly under pressure, while digital ones are built to handle multiple simultaneous check-ins without losing accuracy.
What can EmergencyOS integrate with?
EmergencyOS connects with the systems a facility already has in place rather than requiring a standalone setup. It integrates with visitor management systems, most directly FacilityOS's own VisitorOS, to pull real-time visitor and contractor data into the emergency occupancy list. It also connects with mass notification platforms, existing employee address books and directories, and access control or time-and-attendance systems, so the list of who's on-site during an emergency reflects the same data used for daily operations.
Can EmergencyOS send notifications to visitors and contractors, not just employees?
Yes. EmergencyOS can natively integrate with VisitorOS, and the visitor and contractor sign-in data feeds directly into its notification system, so mass alerts, SMS, email, and phone-based updates reach everyone on-site, not just employees on the company directory. This closes a common gap where emergency notification systems only ever reach payroll or directory-listed staff.
What are building sweeps, and how are they different from a roll call?
A roll call confirms status at the muster point, based on who has arrived. A building sweep confirms the building itself is clear by having Safety Officers physically check designated zones and mark each one as swept. In EmergencyOS, Safety Officers can view a list of building zones, update each one's status (in progress, completed, or needs assistance) from the mobile app, and use both approaches together for full accountability, on the ground and at the muster point.
